Direct Report: Director of Operations & Programming
Status: Full-Time, Salaried, Exempt
Salary Range: $50,000 – $55,000 annually (DOQ)

Schedule: Monday – Friday In-Person Role (frequent travel to program sites and evenings)

Position Summary
The Program Manager supports Loaves & Fishes by coordinating and executing the day-to-day operations of assigned service locations, ensuring consistent, safe, and efficient delivery of programs that serve the community. This role is responsible for translating established procedures into daily operational action by coordinating staff, organizing workflows, and maintaining reliable on-site execution of services. The Program Manager owns the “how and when” of daily program operations, ensuring work is completed effectively, safely, and in alignment with organizational standards. This position plays a key role in advancing the mission by helping ensure individuals and families have consistent food access and welcoming service environments. This role reports to the Director of Operations & Programming and operates within established policies, procedures, and program frameworks.
ESSENTIAL FUNCTIONS
MISSION & TEAM LEADERSHIP
- Represent Loaves & Fishes positively and consistently in all program environments.
- Foster a welcoming, inclusive, and service-focused culture across sites.
- Lead site teams with professionalism, clarity, and accountability.
- Support strong working relationships with staff, volunteers, and community partners.
- Reinforce organizational values through daily operational execution.
PROGRAM OPERATIONS
- Execute daily program operations in alignment with established procedures and expectations.
- Coordinate on-site workflows to ensure efficient and consistent service delivery.
- Oversee operational readiness, including setup, service execution, and closure activities.
- Ensure adherence to organizational procedures, safety standards, and applicable food handling requirements (including CFPM standards where applicable).
- Maintain clean, organized, and compliant operational environments.
STAFF SUPERVISION & SUPPORT
- Supervise assigned program staff.
- Provide day-to-day coordination of assigned staff and volunteers during operations.
- Communicate task assignments and support smooth workflow execution.
- Assist with onboarding and procedural training for new staff.
- Communicate staffing needs, gaps, and attendance issues to leadership.
- Support implementation of approved staffing schedules.
INVENTORY AND LOGISTICS
- Monitor usage of food, supplies, and operational materials at assigned locations.
- Support proper receiving, storage, labeling, and handling practices.
- Identify supply needs and communicate replenishment requirements.
- Assist with coordination of deliveries and basic logistical flow.
- Maintain organized and accurate inventory-related records.
DATA & REPORTING
- Collect and accurately record required service data (e.g., service counts, attendance, and operational metrics).
- Complete required documentation in a timely manner.
- Maintain accurate records related to daily operations.
- Submit operational reports according to established timelines.
PROGRAM IMPLEMENTATION SUPPORT
- Implement established procedures and operational updates as directed.
- Support consistent execution of program activities across assigned locations.
- Assist with operational transitions or adjustments as assigned.
- Provide feedback on site-level operational challenges to leadership.
EXPERIENCE & REQUIREMENTS
Minimum Qualifications
- 3–5 years of experience in operations, food service, hospitality, logistics, or nonprofit program support.
- High school diploma or equivalent required; additional education or training preferred.
- Valid Minnesota Certified Food Protection Manager (CFPM) certification required (or ability to obtain within required timeframe).
- Valid driver’s license and reliable transportation required.
Preferred Experience Areas
- Food service, catering, or high-volume service environments
- Hospitality or multi-task operational settings
- Nonprofit or community-based service delivery
- Warehouse, logistics, or inventory coordination environments
Skills and Abilities
- Strong organizational and time-management skills
- Ability to follow structured procedures and operational direction
- Effective communication with staff and supervisors
- Ability to work in fast-paced, service-oriented environments
- Basic computer skills (email, spreadsheets, reporting systems)
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- Frequent lifting and carrying up to 50 pounds; frequent walking, reaching, pushing, pulling, kneeling, squatting, bending, stooping, standing, and sitting.
- Potential for prolonged standing, walking, squatting, and/or bending.
- Ability to enter cold storage areas for extended periods.
- Work environment includes varying temperatures and exposure to outdoor elements.
- Work environment also includes hot ovens, slippery floors, and working with sharp objects.
